Are you planning to organize a conference or similar event and cannot decide whether it should take place live or completely online?

The right answer may lie in the middle: prepare a modern hybrid event that the participants will not forget for a long time. We have selected 9 reasons why you should give hybrid events a chance.

1. MULTIPLE PEOPLE MAY PARTICIPATE IN THE EVENT

While the capacity of a live (on-site) event is limited by the space at the venue, in the case of a hybrid event you have much more freedom. Some of the participants can arrive to the event in person and some can join it online, so as a result many more people can watch it.

It is up to you whether you will interactively involve the online participants in the event or just let them watch it.

2. ACTIVE INVOLVEMENT OF PARTICIPANTS

We did not mention the interactive involvement of visitors in the previous paragraph by accident – it is another great advantage of a hybrid event. Even if some participants are hundreds or thousands of kilometres away from the venue, they can be actively involved in the event together with all those who arrive in person.

You have many options: answering questions, voting, raffles and contests or even communicating in a live event chat. There are no limits to imagination. Online participants can also play videos or show their presentations.

3. YOU COLLECT MORE IMPORTANT AND INTERESTING DATA

When part of the event takes place online, it brings advantages not only to the participants and performers, but also to you as the organizer. You can easily find out how many people have arrived at the event, you will have access to participants’ contact information and you can also monitor how active or inactive your visitors are during the event. All of this will serve as great data for organizing other events.

4. YOU REACT TO UNEXPECTED CHANGES FASTER

There is nothing worse than when a key performer drops out a few hours before the event, for example due to illness or travel restrictions. Is there a solution? Yes, if you are organizing a hybrid event.

Performers do not have to arrive in person, they can join the event online. Also, you have less to worry about if the capacity of a large event gets limited. You only let as many people as you can into the event and the rest will participate remotely.

5. YOU SAVE ON FLIGHT TICKETS AND ACCOMMODATION

If you organize large events with international participation, you will love hybrid events. You will save a lot of money on flight tickets, accommodation or meals for participants who would otherwise arrive in person. The investment in the rental of professional equipment for a hybrid event will therefore return many times over. Especially if the event should be attended mainly by visitors from overseas.

6. YOU HELP THE ENVIRONMENT

Money saved on flight tickets is one thing, but there is another aspect to long journeys to events – pollution of the environment by planes and other means of transport.

What does that mean? When you organize a hybrid event, you at least let the nature breathe a bit more. When it comes to preserving the environment, every little thing counts.

7. MULTIPLE USE OF EVENT RECORDINGS

Once you say goodbye to the participants, the event is over for them, but not for good. Thanks to the videos recorded at the event, they can replay the most interesting passages when they return home.

Videos from the event can also be used in other ways, for example:

  • you can sell the video online to the general public
  • you can edit a teaser from the recording for the next year’s event
  • you can use the recording, for example, when creating a webinar

8. EASY CONNECTION OF MULTIPLE LOCATIONS

What to do if groups of people or branches from different parts of the country or the world are to participate in the event, but there is no need for them to come in person? At a hybrid event, you remotely connect individual locations to the event venue. Dozens or hundreds of participants from different locations can thus participate in the same event.
